Who it is for

When you freelance, the invoice is often the only document a client’s finance team sees. They didn’t brief you and they don’t know the project, so the invoice has to explain itself: who you are, what the work was, which project or purchase order it belongs to, and when and how to pay.

This template puts the project directly under the title and uses Hours and Rate columns, so time-based work reads naturally. Fixed fees work too: a quantity of 1 and the fee as the rate. Your details, the client, the dates and the payment terms sit in a side column, away from the figures.

What to include

What to put on a freelance invoice

Your name or business
The name you trade under, with an email and, if you have them, a website and tax ID. A sole trader’s own name is fine.
Project or PO
The project name, and the client’s purchase order number if they gave you one. Many companies can’t pay an invoice without it.
Work and hours
Each piece of work with the hours spent and your rate. Group small tasks; split the work the client will recognize.
Fixed fees
For a fixed-price job, a quantity of 1 and the agreed fee. You can mix fixed and hourly lines.
Expenses
Agreed expenses at cost, such as software, travel or stock images, as their own lines.
Payment terms
When payment is due (Net 14 or Net 30 are common) and any late fee you agreed in your contract.
How to pay you
Bank details, a payment link or both. The easier it is, the sooner it happens.

Questions

What should a freelance invoice include?

Your name and contact details, the client’s name and address, an invoice number, the issue and due dates, a description of the work with hours or fees, the total, and how to pay. Add a tax ID and tax where they apply. The full list is in what to put on an invoice.

Can I invoice without a registered business?

In many countries, including the US and the UK, you can invoice as an individual under your own name. You may still need to register for tax once you earn above a threshold; check the rules where you live.

Should I bill hourly or by the project?

Both are common. Hourly suits open-ended work; a fixed fee suits work with a clear scope. This template handles either, and you can combine them on one invoice.

How do I add a late fee?

Only charge one you agreed in advance, usually in your contract. State it in the notes (“Late payments incur a 1.5% monthly fee”), and if a payment is late, add the fee as a line on a follow-up invoice.
