What to put in each section.

Only a few fields are needed for a valid invoice. The rest are there when your work calls for them. For the reasoning behind each, read what to put on an invoice.

01 · Your business
Name and logoYour trading name as clients know it. The logo is optional and sits top left.
Contact detailsEmail, phone and address, so the client knows who to ask about the invoice.
Tax IDYour VAT, GST or tax registration number, if you have one and your clients need it.
02 · Client
NameThe person or company responsible for paying, which is not always the person you worked with.
Email and addressWhere the invoice goes, and the billing address their accounts team will expect.
03 · Invoice details
NumberSuggested for you, one higher than your last. See how to number invoices.
Dates and termsThe issue date and payment terms. Choose Net 30 and the due date is set for you.
Currency and paperSixteen currencies; US Letter or A4.
04 · Line items
DescriptionWhat you did or supplied, specific enough that the client recognizes it.
Quantity and priceHours and an hourly rate, units and a unit price, or 1 and a fixed fee.
05 · Tax, discount & shipping
TaxYour rate and its name (sales tax, VAT, GST), applied after any discount.
DiscountA percentage or a fixed amount off the subtotal.

Questions

Is Folio really free?

Yes. You can create, download and print as many invoices as you like without paying or signing up. There is no watermark and no limit. A paid Pro plan for people who invoice every week is in development; the free generator will stay free.

Do I need to create an account?

No. Open the invoice generator and start typing. Folio remembers your business details in your browser so the next invoice is quicker, without an account or a password.

Where are my invoices stored?

In your browser’s local storage, on your own device. Nothing you type is sent to us or to anyone else. That also means invoices stay on the device and browser you created them in, so use Download backup in Your invoices to keep a copy or move them to another computer.

Can I change the invoice template after I start?

Yes. Choose Change template in the editor or above the preview, at any time. Only the layout changes: your details, line items and totals stay exactly as they are. Folio has sixteen layouts, from Classic and Minimal to Freelancer, Photographer and Contractor, and the template library has worked examples for twenty trades and styles.

Does it work on a phone or tablet?

Yes. On smaller screens the form and the preview sit on separate tabs, and the PDF downloads the same way it does on a computer.

Can I edit an invoice after I download it?

Yes. Every invoice is saved as you type. Open Your invoices, choose the invoice, change it and download a new PDF. You can also duplicate an invoice to start next month’s from it.

How are tax and discounts calculated?

Line totals are added to give the subtotal. A discount, as a percentage or a fixed amount, is taken off the subtotal, tax is charged on what remains, and shipping or another flat charge is added last. You can rename tax to VAT, GST or sales tax. Folio does the arithmetic; check with an accountant which rate applies to you.
